Create a File Plan and Retention Schedule

An approved map from record series to owner, location, retention authority, cutoff, disposition, and hold procedure.

The process

Work it in this order.

  1. Define the office or program scope, accountable records owner, repositories, and applicable legal or organizational authorities.
  2. Inventory systems and record series by business function rather than by incidental file format.
  3. For each series, document description, custodian, location, access class, official-copy status, volume, and relationship to duplicates.
  4. Map the series to a currently valid retention authority and record cutoff, retention period, transfer, destruction, or permanent-preservation action.
  5. Identify unscheduled records, conflicting rules, legal holds, privacy or security controls, and records requiring professional appraisal.
  6. Obtain approval from the records manager and counsel where required, then publish staff-facing filing and disposition instructions.
  7. Train users, audit implementation, document authorized dispositions, and schedule periodic review for process or authority changes.

Bring this

Inputs the cat will ask for.

  • Office or program scope
  • Record-system and series inventory
  • Applicable retention authorities
  • Records manager and approval path

Router + one playbook

Route first. Choose one.

Cat Paw loads one playbook per task rather than merging several. Start with this router; the remaining paths are workflow-specific candidates it can inspect.

  • Router: documents
  • skills/content/content-creator/SKILL.md
  • skills/product/pm-toolkit/grammar-check/SKILL.md

Guardrails

The boundaries travel with the prompt.

  • Do not destroy unscheduled records or apply another organization’s schedule without confirming authority.
  • Legal holds, investigations, audits, and preservation notices override routine disposition.
  • Require a records professional or counsel to approve retention interpretations and permanent-record decisions.

Done means

A checkable finish.

Every in-scope series is mapped to an approved authority or marked unscheduled, holds are represented, and staff have current filing and disposition instructions.

Behind the number

Two harnesses. One line.

Same number, same $100 credit. Pick the harness that answers when you text.

Hermes

Nous Research's terminal-native agent. It runs on your machine, keeps memory between sessions, and opens one playbook per task.
